Add an entity

Add a company or other entity to the register, typed in step by step or read from its certificate of incorporation.

Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.

Add an entity when a new company is incorporated or acquired, or when you bring an existing one under management. Only three things are required to create it: its legal name, its jurisdiction and its entity type. Everything else can be filled in now or later on the entity's own pages.

The first question is how to start. If you have the certificate of incorporation or a closing binder as a PDF, extracting from it saves typing and records where each value came from. Otherwise, enter the details yourself.

Start the entity

  1. On the Entity Register, click New entity.

  2. Choose how to start: Extract from a document or Enter manually.

With Extract from a document, drop the PDF into the box or click to browse. IQ reads the entity's details out of it and fills in the steps that follow. A value read from the document carries an AI badge; click it to see the page it was read from. Document extraction needs AI to be part of your organisation's plan.

Fill in the steps

  1. On Basics, enter the Legal name, then choose the Jurisdiction before the Entity type: the jurisdiction decides which entity types are offered. Add the Status and Incorporation date if you know them, and click Next.

  2. On Tax & financial, add the tax details, Default currency and Fiscal year end if you have them. Set the Filing time zone to the zone of the head office: it decides which day a filing is due. Left empty, deadlines are read in UTC.

  3. On Identifiers & governance, add the LEI, your internal Client number, the Governing act and the other identifiers you hold. Tick Public company (plc) for a public limited company.

  4. On Review, check every value, then click Create entity. Use Back, or click an earlier step, to correct anything.

The new entity appears in the register. Any fields your organisation has added of its own are asked for on the step they belong to.

Tips from practice

  • If Next will not move on from Basics, the message under the form names what is missing: a legal name, a jurisdiction or an entity type.
  • Set the fiscal year end now if you know it. Annual deadlines such as accounts cannot be scheduled for an entity without one.
  • Record the company number under Registrations once the entity exists; see Add a registration.
