Let IQ read your documents

Upload documents to the Document Inbox so IQ reads each one, suggests where to save it and proposes the register entries it supports.

Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.

A board consent appoints a director; a stock transfer form moves shares; a certificate changes a company's name. Typing each of those into the registers by hand is slow and easy to get wrong. Upload the documents to the Document Inbox instead: IQ reads each one, proposes the register entries it supports, and suggests which entity and folder it belongs under. Nothing is written to a register until you approve it.

Upload to the inbox

  1. Choose Document Inbox under Document Intelligence in the left-hand menu.

  2. Click Upload documents and choose the files, or drag them anywhere onto the page. PDF, Word, Excel, images, email and video are all accepted; files IQ cannot read, such as email and video, are stored as they are.

  3. Each document shows under Processing while IQ reads it. Cancel stops one you uploaded by mistake.

Which inbox you upload to decides where the documents are saved:

See what IQ found

When a document has been read it moves to Ready for review, with the number of suggestions IQ made from it and where it is saved.

  • Review opens that document's suggestions in the Review Queue. The Review all … suggestions link above the list opens every suggestion waiting. See Review IQ's suggested changes.
  • Save files a document that is not under an entity yet, and Move files one under a different entity.
  • A document IQ could not read shows under Couldn’t analyse. Re-run reads it again.
  • Documents you have finished with show under Reviewed for seven days. They stay in the entity's documents for good.

To see every upload that is still waiting for an entity, click All unsaved documents. See Save a document under an entity.

Tips from practice

  • Upload the signed copy. IQ proposes entries from what the document says, and a draft says what was intended, not what was done.
  • Uploading the same file twice does not double the work. An exact copy of a document already in IQ Entities is recognised as a second copy, and anything it says that the first copy said is folded into that copy's proposals.
  • Uploading to the inbox needs a role that can add documents. Accepting what IQ proposes needs one that can change entities.
