Prepare the values for a website filing

Add a filing made on a website as a web form, list what the site asks for, and copy a company's values across in order.

Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.

Some filings are not made on paper at all. A bank's portal for changing signatories, a regulator's online return or a registry's web service asks for the same company details every time, one field after another. Setting the filing up once as a web form means anyone can pick the company and copy the values across in the order the website asks for them, instead of looking each one up.

Add the web form

  1. In Administration, open Filing forms and choose Add a form.

  2. Choose the Jurisdiction, give the form a Title, and say in What it is for when it is used. Put the address the filing is made on in Filed on a website, leave Document empty, and choose Save form.

List what the website asks for

  1. Open the form from the list. It is marked User uploaded.

  2. Choose the Data mapping tab.

  3. Under Add a field the website asks for, choose each field in the order the website asks for it. Fields about the company itself are listed under The company, and those about its officers and shares under Its people and shares. Move a field with its arrows, or remove it with its cross. A field that holds personal data is marked personal. Each change is saved as you make it.

Copy a company's values

  1. Choose the Use this form tab.

  2. Choose the Company. What to enter lists its values in the website's order. Choose Copy beside one value, or Copy all values for the whole list, and File online to open the website.

A field with nothing recorded reads Not recorded in IQ Entities: fill in the company's record rather than typing the value into the website alone, so the next filing has it.

Tips from practice

  • Open the website beside IQ Entities and add the fields while you look at its first page, so the list follows the screen people will be filling in.
  • Personal details, such as a director's date of birth, show only to people whose role lets them see personal data. Others see Hidden and a note saying who to ask.
  • Recording the filing against the company afterwards keeps the evidence with the entity: see Record a filing made with another regulator.
  • For a paper form that IQ Entities fills, see See what fills each box on a form.
