Share a document with another entity
Relate one document to the other companies and people it concerns, so it shows on each of their Documents pages.

An intra-group loan concerns the lender and the borrower. A guarantee concerns the guarantor, the borrower and the bank. Rather than upload the same file to every company, keep it on one entity and relate it to the others: it then shows on each of their Documents pages, marked as linked, and there is still one copy to keep up to date.
Relate a document
On the Documents page of the entity that holds the document, click the ⋯ at the end of its row.
Choose Related parties.
Under Add a related entity or person, choose Entity or Person, search for them and click the one the document concerns.
They appear under Related to. Add as many as the document concerns, then click Done.
The file's row now says how many others it is shared with. On each of their Documents pages it reads Linked from the entity that holds it.
Tips from practice
- Keep the document on the entity whose records it most belongs to, usually the party that signed it or the company whose register it changes, and relate the rest.
- Relate a person when a document is about them, such as a director's appointment letter: it then shows among that person's documents too.
- To stop sharing, open Related parties again and remove the entity or person with the cross beside them. The document stays on the entity that holds it. Removing a relation needs a role that can delete documents.
