Restrict who can open a document
Mark a document Confidential or Restricted so only the people cleared for it can open it, and correct its name and date.
Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.
Most of a company's papers can be read by anyone who works on it. Some cannot: a director's service agreement, a settlement, papers for a sale nobody outside the deal team should know about. A document's Sensitivity decides who can open it, so set it as soon as the file is in.
The question that decides the level: should everyone who can read this company's documents see this one?
Set a document's sensitivity
On the entity's Documents page, click the ⋯ at the end of the document's row.
Choose Edit.
Open Sensitivity and choose a level. Each one says who can open the file.
Correct the File name or the Document date while you are here if they need it, then click Save changes.
The level shows in the file's row, so anyone browsing the folder can see the document is restricted.
Which level to choose
| The document is | Choose | Who can open it |
|---|---|---|
| Ordinary company paperwork | Normal | Anyone who can read documents here |
| Personal, commercially sensitive or under negotiation | Confidential | Only people whose role grants Confidential documents |
| Sensitive and about one company's own matter | Restricted | Only people with that grant who are also on the entity's team |
Public and Internal are labels: like Normal, anyone who can read documents here can open them.
Tips from practice
- Who holds Confidential documents is set on their role by an administrator. See Create a role for a team.
- For Restricted, check the entity's team under Team & Access before you rely on it: someone who holds the grant but is not on that team cannot open the file.
- Set the Document date to the date on the document, not the day it was uploaded. It is the date the document speaks from.
