Find a document
Find a document by its company, its folder or its tag, across one entity, a group or the whole organisation.
Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.
A request for "the board minutes from every subsidiary this year" or "Holdings' shareholders' agreement" starts in one of two places. If you know the company, browse its documents. If you know what kind of document it is, look it up by tag across every company at once.
If you know the file's name, the quickest way is the search box in the top bar: it finds documents by name from any page. See Search for anything.
Browse by company
Choose Documents under Records in the left-hand menu. The left panel lists every entity, with how many documents each holds.
Type part of the company's name into Search entities… and click the entity.
Its folders and files open on the right. Click the arrow beside an entity in the list to see its folders without leaving the one you are in.
Inside an entity's own Documents page, the same search box finds that entity's folders by name.
Look across companies by tag
Click Tags at the top of the left panel.
Click a tag. The number beside it is how many documents carry it.
Every document with that tag is listed, whichever company it belongs to, with an Owner column saying whose each one is. Click Clear beside the tag to go back.
Tags follow where you are: on the organisation's Documents page they cover every entity, on an entity's page that entity, and with This group chosen in the top bar the entities in its group.
Tips from practice
- Tag the kind of document, not the company: "Board Minutes" works across the group, while the company is already the folder it sits in.
- To tag a file, click Add tags under its name. To tag several at once, tick them and use Tags in the bar that appears.
- The sort button above the files (it reads Name to begin with) orders them by Name, Last modified or Size.
