Record gifts and hospitality
Keep a director's gifts and hospitality register, with what each was worth and what was decided about it.
Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.
Directors and senior staff are offered tickets, dinners and presents, and they give them too. An anti-bribery policy usually requires each one to be declared and a decision recorded: accepted, declined or returned. Kept on the person's page in IQ Entities, the register shows what was offered, by whom, what it was worth and what happened, with the date it was declared.
Record an entry
Open the person's page and choose Gifts & Hospitality in the sidebar.
Click Record a gift.
Choose the Direction: Received for something offered to the person, Given for something they offered.
Choose What kind, describe What it was, and enter who it was From / to and Their organisation.
Enter When it happened, the Value and the Currency. Leave Value blank if nobody has put a figure on it; it is then recorded as not valued.
Choose In connection with if it relates to one of your entities, or leave it as Personal capacity.
Leave Decision on Awaiting a decision until someone has decided, and enter the date it was Declared on.
Click Record entry.
Record the decision
Open the entry's row menu.
Choose Edit or decide.
Set the Decision, for example Accepted, Declined, Returned or Donated to charity, and click Save entry.
Tips from practice
- Record a gift that was turned down as Declined rather than removing it. The register is the evidence that it was declared.
- Declared on is the date that makes the entry evidence; enter the day the person told you, not the day it was typed in.
- Use How we know to show whether the person declared it themselves or it turned up in an expenses review.
- To review everyone at once, type Gifts & Hospitality into the search box and open the register for the whole portfolio, which can be filtered by decision, direction and person.
