Get reminded before a deadline

Understand who IQ Entities reminds about a deadline and when, how an overdue deadline is escalated, and how to choose which reminders reach you.

Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.

The calendar only helps the person who opens it. Reminders reach the person who owns the task, wherever they are, so a deadline is not missed because nobody looked. They follow the task's assignee, which is the reason to give every task an owner as soon as it appears.

Who is reminded, and when

IQ Entities regularly checks every open task that has a due date.

When What is sent To whom
From seven days before the due date, and every three days after that Task due soon, with the days left The task's assignee
Once the due date has passed, every three days Task overdue, with the days overdue The task's assignee
A statutory deadline still open a week after it passed Overdue task escalated, once The assignee and the organisation's administrators

These are the default timings. A task assigned to a team reminds every member of the team; an unassigned task reminds the administrators. An advisory date, one IQ Entities set as a reminder rather than one the law sets, is reminded about but never escalated.

Read your reminders

  1. Open the bell in the top bar, or Notifications. Each reminder names the task, and the days left or overdue. Click it to open the entity's calendar.

  2. Work through them as you would the rest of your notifications; see Keep up with notifications.

Choose which reminders reach you

  1. Open Settings from the menu under your name, then Notifications. The Compliance section lists each kind of deadline notice with an In app and an Email switch.

  2. Keep A deadline is coming up and A deadline has passed on if you own filings. An overdue deadline was escalated and A task is assigned to me sit beside them. Changes are saved as you make them.

To have email sent as a daily or weekly summary instead, see Choose which notifications you get.

Quieten one task

  1. Open the task and choose Mute in its header.

  2. Choose For a week, For a month or Until I turn it back on. Notices about that task stop for you alone; your organisation may still require a small number of them.

Tips from practice

  • A switch with a padlock has been set by your organisation. Administrators decide who hears about each deadline event and whether email goes out at all; see Choose who hears about what.
  • Reminders follow the assignee. Reassigning a task moves its reminders to the new owner; see Assign tasks to people and teams.
  • A task with no due date is never reminded about. Give it a date, or it will sit quietly under No due date.
  • Mute is for noise, not for work: a muted task is still due, and still turns red on the calendar.
