Upload documents to an entity

Put a company's certificates, agreements and minutes on its own Documents page, in the folder they belong in.

Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.

Every entity has its own Documents page: the certificate of incorporation, the articles, the shareholders' agreement, the signed minutes. Uploading there files each document under the company it belongs to, so whoever picks up the entity next finds its papers in one place.

If you have a pile of documents and are not yet sure which company each belongs to, upload them to the Document Inbox instead: IQ reads each one and suggests where it goes.

Upload from the entity's Documents page

  1. Open the entity and choose Documents under Records in the left-hand menu.

  2. Open the folder the documents belong in, if any. The bar at the top shows where an upload will land: the entity's name, then the folder you are in.

  3. Click Upload and choose one or more files. You can also drag files from your computer anywhere onto the page; the page says which folder they will be added to before you let go.

  4. Each file appears in Files as it uploads, with who added it, its Sensitivity and when it was last modified.

Click a file's name to read it in the viewer without downloading it. The ⋯ at the end of its row has Download, Edit, Related parties, Version history and Delete.

Tips from practice

  • Open the right folder before you upload rather than moving files afterwards; the upload lands wherever the bar at the top says you are.
  • Check the Sensitivity of anything personal or price-sensitive straight after uploading. A new upload reads Normal, which anyone who can read documents can open. See Restrict who can open a document.
  • Use Columns above the table to add the columns you work from, such as the document date or where a file came from.
  • If Upload is greyed out, your role can read documents but not add them. Ask an administrator.
