Organise documents in folders
Add folders to an entity's Documents page, move files and folders between them, and act on several files at once.
Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.
Each entity starts with the folders your organisation has set up for every company, such as Board & Governance or Statutory Registers. When a piece of work needs a place of its own (a transaction, a refinancing, a year's audit), add a folder for it on that entity, file the papers into it, and the next person finds them together.
Add a folder
Open the entity's Documents page. To put the new folder inside another one, open that folder first.
Click New folder.
Type the Folder name and click Create folder. The dialog says where the folder will be created.
The folder appears under Folders, and in the folder tree on the left. Click it to open it.
Inside the folder, Upload adds files to it. The bar at the top always shows which folder you are in.
Move files and folders
Drag a file's row, or a folder, onto another folder: a folder card, a folder in the tree on the left, or a name in the bar at the top. Drop it on the entity's name to move it back to the top level. A folder cannot be moved inside itself.
Act on several files at once
Tick the box at the start of each file's row, or the box in the heading to select every file shown. A bar appears above the folders with what you can do to all of them:
| To | Use |
|---|---|
| Label them all with the same tag | Tags, then type a tag and press Enter |
| Send them to someone as one file | Download, which saves them together |
| Clear them out | Delete |
Tips from practice
- Keep folder names to the work, not the date: "Transaction documents" outlives "Q3 uploads".
- The folders every company starts with come from your organisation's folder structure, which an administrator sets up. Add a folder on one entity for one-off work; ask for a change to the structure when every company needs it.
- Deleting a folder deletes the files inside it. The confirmation says how many.
