Choose who hears about what
Switch on notification email for your organisation and decide, event by event, who is told and whether they can opt out.
Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.
A deadline nobody hears about is missed; a team that hears about everything stops reading. Events & Audience is where an administrator sets the organisation's rules: whether IQ Entities sends notification email at all, and for each event (a deadline coming up, a deadline passed, a filing rejected) who is told and whether they may turn it off. The question that decides each event is whether a member could reasonably not want to know.
Switch on notification email
Click your name at the foot of the main sidebar, choose Administration, then Events & Audience.
Turn on Email notifications. While it is off, IQ Entities records notifications in the app and sends no email. Turning it on starts from that moment: nothing already in the feed is emailed afterwards.
Set each event's audience and email rule
Find the event. Each one says what triggers it and how many members it reaches today, and how many of them have turned email off.
Choose who hears about it. The assignee only tells the person who owns the task; Every member, including future ones tells everybody, now and as people join.
Choose the email rule. On by default and Off by default set the starting point and leave each member to change it in their own notification settings. The rule that begins Always stops members turning it off, and the one that begins Never sends nobody email for that event.
Use the switch at the end of the row to turn an event off for the whole organisation.
| Event | A sensible rule |
|---|---|
| A deadline is coming up, a deadline has passed | The assignee only, and Always: the owner of a statutory deadline should not be able to silence it |
| A filing is rejected | On by default: the person who filed needs to know, and few will turn it off |
| A task is completed, a filing is accepted | Off by default, so members who want the confirmation can opt in |
Tips from practice
- Turn email on once the organisation's tasks are assigned to the right people. A first send to the wrong assignees teaches people to ignore the mail.
- Prefer On by default over Always wherever missing the message carries no risk; people trust a channel they can tune.
- If someone says the mail is not arriving, the rules here are only half the answer. Check Email delivery next.
Next: Check that notification email arrives. Members choose their own notifications in Choose which notifications you get.
