Change what a member can do
Give a member another role, take one away, answer their request for more access, or remove them from the organisation.

People's work changes: a paralegal takes over the filings, an assistant company secretary covers a colleague's companies, someone moves on. Each member holds one or more roles, and what they can see and do is the sum of them. The question to answer first is whether the change is permanent. A standing change of job is a role; a member who leaves is removed.
Give or take away a role
In Administration, open Members and click the roles button on the member's row. It shows the roles they hold now.
Tick a role to give it to them, or untick one to take it away. The change applies at once, and the menu stays open so you can change several roles in one go.
Some roles cannot be unticked from this menu, and the line beneath the role says why:
| Beneath the role | What it means |
|---|---|
| removing it ends all their access | It is their only role. Untick it only if they should see nothing at all. |
| automatic | They hold it because of a position, such as a directorship. It ends when the position does. |
| support access | It comes from a support access grant, and ends when the grant does. |
| would lock you out of the admin panel | It is your own last role that opens Administration. Another administrator has to change it. |
Answer a request for more access
A member who needs more than their role allows can ask for a different role from their own settings. While a request is waiting, Access requests appears above the list on the Members page, with the role they hold, the role they want and their reason. Click Approve to change their role to the one they asked for, or Decline to leave their access as it is.
Remove someone who has left
Click Edit members.
Click Remove on their row, and confirm. They can no longer sign in to this organisation. What they did stays in the audit trail, and you can invite them again later. You cannot remove yourself.
Click Done to leave edit mode.
Tips from practice
- Add the new role before removing the old one when someone changes job, so they are never left without access mid-task.
- Remove leavers on their last day. Their history stays in the audit trail, so nothing is lost by removing them.
- Two roles together give the reach of both. To narrow what someone sees, take a role away rather than adding a smaller one.
- Read the reason on an access request before approving it: a request for Administrator is often a request for one setting another administrator can change for them.
Before this: invite a colleague.
