Forward documents by email
Send board papers, registry receipts and signed copies to your organisation's own address, and find them in the Document Inbox.
Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.
Most documents arrive by email: signed resolutions back from a director, a filing receipt from an agent, the auditor's letter. Your organisation has its own forwarding address. Forward an email to it and IQ Entities files the email and each attachment as documents in the Document Inbox, where they are sorted with everything else.
An administrator with the permission to manage the organisation's settings looks after the address. The question to settle is who outside the organisation should be able to send to it.
Find the address
Open Settings from the menu under your name, and choose Inbound Email.
Copy the address under Inbound email address and share it with the members who will forward to it. Active means it is accepting mail.
Forward an email to the address from your own work account. The email itself and each attachment of a type IQ Entities accepts become documents, and appear in the Document Inbox, ready to be filed to an entity.
Let people outside the organisation send to it
Mail from any member of the organisation is accepted, provided it passes email authentication. To accept mail from someone who is not a member, such as an outside company secretarial agent:
Under Allowed senders, type their address and click Add.
Click Save. The list is not kept until you do.
Check what arrived
Received mail lists recent emails, with what happened to each.
| Status | What it means | What to do |
|---|---|---|
| Ingested | Filed, with the number of documents it made | Find them in the Document Inbox |
| Quarantined | Held, with the reason, such as a sender who is not a member | Release it to file it now, or Discard it |
| Rejected | The email could not be read | Ask the sender to send it again |
Releasing needs permission to add documents, and discarding needs permission to delete them. A sender held for not being a member is told by email that their message is being held, at most once a day.
Pause or replace the address
- Pause forwarding holds every new email under Received mail until you click Resume forwarding. Use it while you check something that arrived unexpectedly.
- Generate new address replaces the address; the old one stops working at once. Use it if the address has been shared more widely than it should be, then send the new one to everyone who uses it.
Tips from practice
- If a forward never appears under Received mail, check the address it went to. Mail to an old or mistyped address never reaches IQ Entities, so there is nothing to show.
- Add a registry's or agent's sending address to Allowed senders before the first document is due, rather than releasing their mail by hand each time.
- Put the entity's name in the subject when you forward. It helps whoever files the documents from the Document Inbox.
