Generate a document from a template

Produce a resolution, certificate or letter for an entity from a template, filled in from its records and saved to its documents.

Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.

A certificate of incumbency for the bank, a board resolution to change the registered office, a written resolution for the shareholders: each one repeats what IQ Entities already holds about the company. Generating it from a template fills the company's details in from its records, and saves the result to its documents, so the paper and the register say the same thing.

Generate the document

  1. Open the entity's Documents page and click Generate.

  2. Find the template in the gallery. Type into the search box to narrow it by name or by what the document does. Each card says which version of the template this entity will get, and the badge says whether it is the Default that IQ Entities ships or your organisation's own.

  3. Click the template. Preview shows the document filled in with this entity's details. If the template needs details the records do not hold, such as who signs it, they are asked for under Details for this document.

  4. Choose the Format.

  5. Click Generate to save the document to the entity's documents and open it, or Download to save it and download a copy.

Tips from practice

  • Read the preview against the register before you generate. A wrong name or date in the document means a wrong record, and correcting the record first fixes both.
  • Generate once, in the format you will use. Each generation is saved as its own document.
  • Your organisation's own wording is set up as a template by an administrator. See Add your own document template.
  • Generating saves a document, so it needs a role that can add documents.
