Take entities live after onboarding
Load a book of companies without raising tasks for past events, then take each one live when its records are complete.
Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.
When you take on a book of companies, their records arrive full of past events: directors appointed years ago, offices moved, charges created and repaid. If each of those raised a filing task, the calendar would open on a wall of overdue work that was done long before you arrived. Onboarding holds those back while you load and check the records.
While an entity is in onboarding, its recurring duties, such as the confirmation statement and the accounts, run as normal. Nothing that happens to it raises an event duty: an appointment, a resignation or a charge recorded during onboarding raises no task, and nothing appears on History. Taking the entity live starts its event duties from that moment, and nothing recorded while it was onboarding is replayed.
Choose where new entities start
In Administration, open Requirement assignments and choose the Onboarding tab.
Turn New entities start in onboarding on while you are still loading records. Every entity you add or import from then on starts in onboarding. Turn it off once your onboarding is finished, so entities added afterwards are live from the moment they exist. Changing the switch moves no entity you already hold.
Take entities live
The list below shows every entity in the organisation with its state, Onboarding or Live, and a count of each above it. Tick the entities whose records you have checked, or Select all, and choose Take out of onboarding.
The entities you chose now read Live. Their event duties start with the next change recorded against them.
An entity still in onboarding carries an Onboarding badge beside its status at the top of its page. Hover over the badge for what it means.
To return an entity to onboarding, for example while a large batch of historical records is corrected, tick it and choose Put back into onboarding. Tasks it has already raised stay as they are.
| Situation | What to do |
|---|---|
| Migrating a whole book from another system | Turn the switch on before the import, take entities live in batches as each is checked |
| Adding one new subsidiary to a live group | Leave the switch off, so it is live and its appointments raise their filings |
| A company's history is being re-keyed after go-live | Put it back into onboarding for the re-keying, then take it out again |
Tips from practice
- Take an entity live only once its current officers, registered office and share capital are right. Changes recorded after go-live raise filings, so a correction made afterwards can look like a new event.
- Anything that really happened during onboarding and still needs filing will not be raised for you. Add it as a task by hand: see Add or remove a task by hand.
- Taking entities in and out of onboarding needs the same permission as attaching requirements to groups. Without it, the tab shows each entity's state but offers no checkboxes.
- Once the entities are live, check what each one owes: see Assign requirements to a group.
