Record the changes in signed minutes with IQ
Give IQ the signed minutes, approve each register change it proposes from them, and file the minutes under the company.
Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.
Signed minutes often carry several changes at once: a director appointed, another resigning, a new registered office. Recording them means opening a page for each. Give IQ the minutes instead and ask it to record what they change: it reads the document, proposes each change, and waits for you to approve every one before the register moves.
The question that decides the route: do you want to check each entry against the passage it came from, or talk the changes through?
| You want to | Use |
|---|---|
| Check every proposed entry beside the passage it was read from, for a pile of documents | The Document Inbox and the Review Queue |
| Record what one document changes, asking questions as you go | A chat with IQ, as below |
Give IQ the minutes
Open IQ Assistant, or click Ask IQ on the company's page.
Click + in the question box and choose Upload from device, or drop the file onto the chat. IQ reads PDFs and images as they are, and Word, Excel and PowerPoint files as their text.
Say what the document is and what to do with it:
These are the signed minutes of the Northwind Holdings Limited board meeting on 30 September 2026. Record the changes they make to the register of directors.
If the minutes are already saved in IQ Entities, name them instead of attaching them: IQ can find and read the company's documents, and cites the document and page it relied on.
Approve each change
IQ reads the minutes and asks to make each change in turn. For several changes it may first show a plan of the steps for you to approve; see Set up a new subsidiary with IQ.
A new appointment appears as IQ wants to create a principal. A principal is an appointment on the register. Click the card's heading to see the Request: the Title and Start date IQ will record. Dates are written year first.
A resignation appears as IQ wants to update the principal., with the End date in its request.
Check each request against the minutes, then click Approve, or Reject and tell IQ what was wrong. Unless you chose Run without confirming, every change asks, whatever you approved earlier in the chat.
Once approved, each change is recorded exactly as if you had made it on Directors & Officers, and raises the same Companies House filing task for a UK company. The audit trail shows it with IQ as its source.
File the minutes
Point to the minutes in the chat and click the File under entity button that appears on the file.
Choose the company and, if you like, a Folder, then click File under entity.
A file attached to a chat stays in the chat, and is not among the company's documents until you file it.
Tips from practice
- Attach the signed copy. IQ records what the document says, and a draft says what was intended.
- Ask IQ to list the changes it found before you ask it to record them. A change the minutes make that IQ did not mention is easier to spot in a list.
- Check each date is the date in the minutes, not the date of the meeting the minutes were approved at.
- Then file the forms from their tasks; see Report a new director to Companies House.
