File with a registry outside the UK

File a change with the registry in France, Hong Kong or New Zealand from the company's Registrations page, after checking exactly what will be sent.

Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.

When a French, Hong Kong or New Zealand company moves its registered office or changes its officers, the change has to reach the local registry as well as your records. IQ Entities can file it there for you, under your organisation's own account with that registry: France's INPI Guichet unique, the Hong Kong Companies Registry or the New Zealand Companies Office. Each registry still asks a person to sign or approve some filings on its own website, and IQ Entities tells you when it does.

Before the first filing, an administrator connects your organisation's account with the registry under Administration, Integrations. See Connect a service to IQ Entities. Each company also needs its home registration recorded with the number the registry knows it by: the SIREN for France, the first eight digits of the Business Registration number for Hong Kong, the NZBN for New Zealand. See Add a registration.

To connect New Zealand, where the filer signs in with RealMe rather than entering a password, see Connect the New Zealand Companies Office.

Choose the form

  1. Open the company and choose Registrations in its sidebar.

  2. The card File with the company's registry lists the forms you can file, such as the NR1 for a Change of registered office in Hong Kong, Change of officer (dirigeant) in France or Annual return in New Zealand. The line under the registry's name says whose account it files under.

  3. Choose the form.

The card says What to do
Files under your organisation's own account The account is connected; go ahead.
Connect your organisation's own … account under Admin → Integrations to file Ask an administrator to connect it first.
… filing is not configured on this server That registry is not available to your organisation yet; ask your Board Intelligence contact.

Fill it in

  1. Complete the form. Values IQ Entities already holds are filled in from the company's record; check them rather than retyping.

  2. A French filing that changes the officers may add a section, Details INPI Guichet unique is missing. The registry asks for these details about officers already on its register; fill them in for each person.

  3. Where a filing needs a supporting document, such as the minutes of the decision, choose it from the PDFs on the company's documents. Upload it to the company first: see Upload documents to an entity.

  4. Click Review filing.

Review and submit

  1. Read the review. It lists what the registry will receive, built by the same code that sends it. To see the message itself, open Exact XML sent to the registry (or JSON).

  2. The note at the top says the server files with the registry's live service: a submission goes on the public register. If anything is wrong, click Back and correct it.

  3. Click Submit to the registry.

  4. The result shows Accepted, Submitted or Rejected, with the registry's reference. If the registry still needs something from a person, such as a signature, the result says what and links to it with Open the registry.

What happens next at each registry

Registry After you submit
INPI Guichet unique (France) The company's legal representative, or your mandataire, signs the formality with a qualified electronic signature and pays on the Guichet unique. INPI then forwards it to the greffe.
Hong Kong Companies Registry The form waits in your presentor's e-Drive. The signatory logs in to the e-Services Portal, signs it and submits it.
New Zealand Companies Office Annual returns and director cessations are on the register as soon as they are sent. A new director stays pending until the Registrar approves their signed consent.

IQ Entities checks the registry for the outcome and marks the filing accepted or rejected. To ask now, find it on the Filings page and click Check; see Track your filings.

Tips from practice

  • Record the change on the company first, such as the new registered office or the director's appointment, so the form fills itself from the record you will keep.
  • Tell the signatory before you submit. A filing that waits for a signature on the registry's website is not filed until they sign it.
  • A Hong Kong signatory, including a newly appointed director giving consent, needs their own e-Services account associated with the company.
  • For filings at Companies House, see File a form from its task.
