Tailor the lists your forms offer
Rename, hide or add to the values your forms offer, such as meeting types or officer roles, for your organisation only.
Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.
The drop-down lists across IQ Entities (entity types, officer and director roles, meeting types, address types and many more) come from a standard catalogue that covers every jurisdiction. Your organisation may call things by other names, never use some of them, or need one the catalogue does not have. Changes here apply to your organisation only.
Choose a list
In Administration, open Reference Values and choose the list from the picker.
Pick the list to tailor. The jurisdiction picker beside it narrows the values to those offered for one jurisdiction.
Rename a value
Choose Rename on the value.
Type the name your organisation uses and choose Save.
The value is marked Renamed, with the default name it replaced shown beneath it. The arrow beside it, Revert to default, brings the default name back.
Hide a value you never use
Choose Hide on the value.
The value is marked Hidden for your organisation. Show brings it back.
Add a value of your own
Choose Add value.
Give it a Name. The Code is filled in from the name. Under Applies to, choose Every jurisdiction or Only some, then choose Add value.
The value is listed, marked Added by your org.
Tips from practice
- Hide rather than remove. A hidden value can be shown again; a value your organisation added and then removed has no default to fall back to.
- Settle the Code before records use the value. It is permanent once used, and it reaches the API, exports and generated documents.
- Rename to match the wording in your articles and minutes, so the forms offer the words your board uses.
- For a fact the record has no field for at all, add a custom field instead: see Add a custom field.
