Add your own document template
Upload your organisation's own Word precedent as a template, so documents generated from the register come out in your house style.
Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.
IQ Entities ships a library of corporate documents (resolutions, minutes, certificates) as Word files that fill themselves from the register. Most teams have their own precedents, on their own letterhead, with their own wording. Uploading one as a template means every document generated from it uses your wording and the register's facts. The question that decides the upload is whether the document applies across the whole organisation, or to one company or group only.
Look at what is in the library
Click your name at the foot of the main sidebar, choose Administration, then Document Templates. The library lists the templates for the jurisdiction chosen at the top, grouped by category.
Click a template to open it.
Change its Name, Description or Status and click Save. A Draft template is kept out of use while you work on it; Published makes it available to generate from.
Upload your own Word document
Click New template.
Click Choose a Word document and pick the
.docxfile. Its styling is kept exactly as it is.Give it a Name, choose its Category, and in Fill from choose what the document is about: an Entity, a Person, a Resolution, a Meeting and so on. That decides which fields its placeholders can be filled with.
Leave Use for on All entities, or pick an entity to use this document for one company only. Tick Also use for this entity's subsidiaries to cover the group beneath it.
Click Upload and read. IQ reads the document, finds its placeholders and opens Review the mapping, where you confirm what fills each one.
| Situation | What to do |
|---|---|
| A document the library does not have | New template, with Use for left on All entities |
| Your wording for a document IQ Entities already ships | Click Download on the shipped template, edit it in Word, and upload it with New template |
| A new edition of a template you uploaded | Open it and click Replace file; the mapping is carried over |
| One company, or one group, needs a different version | Open the template and click Upload a version for an entity |
Tips from practice
- Placeholders IQ cannot match are reported as not mapped, and appear in generated documents exactly as written. Map them, or choose Leave as-is when the text is meant to stay.
- The document is filled in place, so its letterhead, fonts, numbering and images come out exactly as you authored them.
- The most specific version wins: an entity's own, then one inherited from a parent, then the jurisdiction's, then the one for all entities.
