Add the steps of a workflow

Add, set up, reorder and test the steps of a workflow in the builder, and quote earlier results with Insert data.

Screenshots are retaken from IQ Entities on every release. Updated 14 October 2026.

The steps are the routine itself, in the order your team does it: find the companies, ask someone for a document, wait for sign-off, raise the task, tell the people who need to know. Each step is a card on the builder canvas, set up in a panel beside it. Workflows must be switched on for your organisation.

Add the first step

  1. Under What should happen first?, choose one of the common starting points, or Add the first step for the full list.

  2. Set the step up in the panel that opens. For Create a task, give the Task title and Task description, then choose Who does it, when it is Due (in days after the run, so the date is always current) and its Priority.

Add the steps that follow

  1. Choose the + on the line where the step should go, between two steps or after the last.

  2. Choose the step, or type what it should do in the search box to find it.

The steps are grouped by what they do:

Group Steps
Do the work AI Agent (IQ follows your instructions), Generate document (from a template, or drafted by IQ), Insights (the same questions across many records), Find records (companies or people for later steps), Update a record (set fields on the company or person the run is about)
Involve people Human review (pause for approval), Request information (email a person for documents or an answer), Create a task (put the next move on the compliance calendar), Notify (tell members in the app or by email)
Logic & other systems Wait (pause for days, then carry on), Condition (carry on only when something is true), For each (repeat steps once per record), Call an API (call another system)

When your organisation has connected the Board Intelligence portal, its steps appear in a group of their own.

Quote what the run knows

  1. Beside any field that accepts it, choose Insert data to quote the company the run is about, an answer given when it started, an earlier step's result or, for a run that started on its own, what started it.

  2. Choose the item. The field shows it in words, and the run fills in the real value.

Set how a step tells people

For Notify, choose Who and How (In-app, Email or both). With Write the email for me on, your message is a brief and a short, readable email is written from it for the people chosen; switched off, the message is sent exactly as you wrote it.

Rearrange and test

  1. Open the menu on a step (the three dots) for Move up, Move down, Duplicate or Delete step.

  2. To see what a step would do, open it and choose Test up to this step. The test runs the workflow up to that step against a real company without sending or changing anything.

  3. Choose Save. A step with something missing is marked on the canvas; if you save before fixing it, IQ Entities says Finish setting this workflow up and opens the step.

Tips from practice

  • Write task titles and messages for the person who reads them months later: name the company with Insert data rather than "this company".
  • Turn Write the email for me off when the wording matters, such as a message a regulator or an auditor may see.
  • Use Test up to this step before the first real run of anything that emails people outside the team.
  • Steps that involve people have guides of their own: Ask for information in a workflow and Get approval in a workflow.
